Returns and refund requests are part of selling on a marketplace. A seller does not need to enjoy them, but the process should be organized, predictable, and easy to explain. When the seller handles returns consistently, customers are more likely to trust the store and less likely to escalate avoidable issues.

Start with the order record

Before answering a return request, the seller should check the order number, product variation, fulfillment status, and the reason the buyer provided. That information makes it easier to determine whether the request matches the store policy and the item that was actually shipped.

Inspect the claim carefully

  • Confirm whether the item is returnable under the store policy.
  • Check whether the request is about damage, fit, missing parts, or buyer change of mind.
  • Review whether the item was opened, used, or customized.
  • Ask for photos when the issue involves damage or incorrect condition.

Choose the right resolution path
